Summary Position Description

 

The Receptionist/Administration Officer will provide friendly customer service via reception, and administrative support to the Business Manager and business in general.

Major Duties and Responsibilities

 

1)        Customer Service/Reception

·           Answer all incoming calls, correspondence, email and fax enquiries and direct to appropriate staff

·           Ensure all visitors are greeted in a friendly and hospitable manner

·           Ensure that the reception and entry area are safe, clean and maintained to high standards at all times

·           Collect and distribute incoming and outgoing mail

 

2)        General Administration

·           Provide general administrative support to Business Manager and other managers in consultation with the Business Manager, through activities including but not limited to word processing, filing, collating information, maintaining office supplies, maintaining company leave calendar, other duties as required.

·           Maintain accuracy of company database management system

·           Maintain supplies of stationary, amenities and consumables

·           Assist staff with queries relating to debtors and creditors

·           Provide internal documentation to departments, as required

 

3)        Financial Administration

  • Maintain petty cash
  • Reconcile banking and prepare deposits
  • Liaise with debtors and creditors
  • Follow up outstanding debt with customers
  • Enter creditor invoices and reconcile to statements and financial system
  • Prepare payments to creditors
  • Enter end of month internal debtor journals

 

4)        Other Duties

·           Support the Business Manager and other managers and staff in consultation with the Business Manager

·           Other duties as assigned

 

Consults with

 

·         Business Manager

·         Other finance and administration staff

·         Staff within Truck Sales, Spare Parts and Service

·         Customers including visitors and debtors/creditors

 

 

 

Key Selection Criteria

 

·         Current Driver Licence

·         Successful completion of a Police Records Check

·         Excellent interpersonal skills and good written and verbal communication skills

·         Good planning, organisational and time management skills and ability to meet deadlines

·         Ability to learn on the job and adapt to new software and processes

·         Well presented

·         Experience in an office environment with exposure to reception and broad administration duties

·         General proficiency with computers and comprehensive skills in Microsoft Office applications including Word, Excel, Outlook.
